How to use Google Bookings Page with Google Calendar

This article covers three related Google Calendar tools: the booking page (for letting others schedule time with you), co-hosts (for sharing meeting duties), and shared calendars (for setting up recurring team meetings). All three work with Google Meet, our standard video conferencing tool.

Who This Is For

All staff who use Google Calendar and want to make scheduling meetings, trainings, or 1:1s easier. No special access is required. Anyone with a Behavioral Framework Google Workspace account can use these features.

Not for client scheduling: These tools are for internal meetings, trainings, and interviews. Client sessions and clinical appointments still go through Hi Rasmus and Lumary. Do not use a Google Calendar booking page to schedule client sessions.

What's Happening

Google Calendar includes a scheduling tool called a booking page. It lets you share your open time slots so someone else can pick a time to meet with you, without the back-and-forth of email. You can bring other people in as co-hosts so more than one person can manage or run the meeting. Both features connect automatically to Google Meet, so a video link is ready before the meeting starts. For meetings that happen on a set schedule, a shared calendar makes it easy to set up recurring events that everyone on the team can see.

Setting Up Your Booking Page

A booking page shows your open time slots to whoever you share it with. They pick a time, and it lands on both calendars automatically. No back-and-forth needed, and the other person does not need a Google account to book time with you.

  1. Open Google Calendar and click Create.
  2. Select Appointment schedule (this may also appear as Booking page, depending on your view).
  3. Give it a name, set your available days and time slots, and choose how long each appointment should run.
  4. Under video conferencing, confirm Google Meet is selected. This adds a Meet link to every booked appointment automatically.
  5. Click Save, then click Share to copy your booking page link.
  6. Send the link to whoever needs to book time with you. They will see only your open slots, never your full calendar.

Your booking page updates itself. If you already have something on your calendar, that time slot will not be offered. Once a slot is booked, it disappears from the page so it cannot be double-booked.

Adding Co-Hosts

A co-host can help manage a meeting: muting participants, admitting people from the waiting room, or ending the call. This is useful for trainings or larger meetings where one person should not have to run everything alone.

To add a co-host to a booking page: you can invite up to 20 people to co-host a single booking page, including entire Google Groups, so a whole team can share the same set of appointments.

To add a co-host to a regular Google Meet meeting:

  1. In Google Calendar, open the meeting and click Edit event. You must be the person who created the meeting to do this.
  2. Click Video call options.
  3. Turn on Host management.
  4. Click Co-hosts, then enter the names of the people you want to add and select them from the list.
  5. Click Save.

Add co-hosts before the meeting starts, not during. If someone else created the meeting, ask them to add you as a co-host, or have them transfer ownership of the meeting to you first.

How This Connects to Google Meet

Both booking pages and co-hosted meetings are built to work with Google Meet directly. Once someone books time on your page, a Meet link is generated automatically and included in the calendar invite, no extra setup needed. Co-hosts get the same controls the meeting organizer has (like managing the waiting room or muting participants) as soon as the meeting starts in Meet.

Using a Shared Calendar for Recurring Meetings

If your team has a standing meeting, like a weekly check-in or a monthly review, a shared calendar keeps it visible to everyone and off individual inboxes.

Create a shared calendar:

  1. In Google Calendar, find Other calendars in the left sidebar and click the +.
  2. Select Create new calendar, give it a name (for example, "Behavioral Framework - IT Team"), and click Create calendar.
  3. Open the new calendar's settings and click Share with specific people, then add the email addresses of your team members.

Add a recurring meeting to it:

  1. Click Create and fill in the meeting title, time, and Google Meet link.
  2. Use the calendar dropdown in the event details to switch it from your personal calendar to the shared calendar.
  3. Click the dropdown that says Does not repeat and choose how often it should happen (daily, weekly, monthly, or a custom pattern).
  4. Set when the series should end, or leave it ongoing.
  5. Click Save.

If a single occurrence needs to change (a one-time time change or cancellation), Google Calendar will ask whether to change this event, this and following events, or all events in the series. Choose this event to leave the rest of the series alone.

Good to Know

  • No special IT permission is needed to create a booking page, add co-hosts, or set up a shared calendar.
  • People booking time with you never see your full calendar, only the open slots you choose to offer.
  • You must be the organizer of a meeting to add co-hosts to it directly.
  • These tools do not change how existing meetings on your calendar work.

FAQ

Does the person booking a slot need a Google account?

No. Anyone with the booking page link can book a slot, whether they use Google or not.

Can I remove a co-host after I add them?

Yes. Open the same Co-hosts screen in Video call options and remove them the same way you added them.

What happens if I edit or cancel one meeting in a recurring series?

Google Calendar will ask if the change applies to just that occurrence, that occurrence and everything after it, or the whole series. Pick the option that matches what you need.

Can I use a booking page for client or clinical appointments?

No. Client and clinical scheduling continues through Hi Rasmus and Lumary. Booking pages are for internal and business meetings only.

Who can see my shared calendar?

Only the people you specifically add under "Share with specific people" in the calendar's settings.
