Zoom Troubleshooting Guide

Overview

This guide covers common Zoom issues and how to quickly resolve them, including:

  • Audio problems (microphone/speakers)

Before joining important meetings, it is recommended to test Zoom settings in advance.


1. Audio Issues (People Can’t Hear You or You Can’t Hear Others)

If People Can’t Hear You

  1. Make sure you are not muted (bottom-left microphone icon).
  2. Click the arrow (^) next to the microphone icon.
  3. Under Select a Microphone, choose the correct device.
  4. Speak and confirm the green input bar moves.
  5. Go to Audio Settings > Test Mic and verify playback.

If using a headset:

  • Ensure it is plugged in securely.
  • Check that it is selected as the microphone.
  • Make sure it is not muted physically.

If You Can’t Hear Others

  1. Click the arrow (^) next to the microphone icon.
  2. Under Select a Speaker, choose the correct device.
  3. Click Test Speaker.
  4. Check your computer’s volume settings.
  5. Make sure headphones are properly connected.

2. Camera Not Working

  1. Click the arrow (^) next to the camera icon.
  2. Select the correct camera.
  3. Ensure the camera is not covered or physically disabled.
  4. Close other applications that may be using the camera (Teams, FaceTime, etc.).
  5. Restart Zoom.

If the camera does not appear:

  • Check system privacy permissions.
  • Restart your computer.

3. Screen Sharing Issues

If you cannot share your screen:

  1. Click Share Screen.
  2. Select the correct window or entire screen.

    If sharing is disabled:

    • The host may need to enable screen sharing permissions.

      On Mac:

    • Go to System Settings > Privacy & Security > Screen Recording
    • Ensure Zoom is enabled.
    • Restart Zoom after enabling.

4. Zoom Freezing or Crashing

  1. Fully quit Zoom (not just close the window).
  2. Reopen the application.
  3. Restart your computer if the issue continues.
  4. Ensure Zoom is updated to the latest version.

To update Zoom:

  • Open Zoom.
  • Click your profile picture.
  • Select Check for Updates.

5. Poor Audio or Video Quality

Common causes:

  • Weak internet connection
  • Too many applications running
  • VPN interference

Try the following:

  • Move closer to your Wi-Fi router.
  • Close unused applications.
  • Turn off VPN temporarily (if allowed).
  • Turn off HD video in Zoom settings.
  • Use a wired connection if possible.

6. Unable to Join a Meeting

  1. Confirm the meeting ID and passcode are correct.
  2. Check that the meeting has started.
  3. Ensure Zoom is updated.
  4. Restart the app.
  5. Try joining via browser if the app fails.

7. Zoom Permissions (Mac Users)

If Zoom cannot access your microphone, camera, or screen:

  1. Open System Settings.
  2. Go to Privacy & Security.

    Select:

    • Microphone
    • Camera
    • Screen Recording
  3. Ensure Zoom is toggled ON.
  4. Restart Zoom.

Quick Pre-Meeting Checklist

Before important meetings:

  • Test microphone and speakers.
  • Test camera.
  • Confirm correct audio device selected.
  • Close unnecessary applications.
  • Join 5 minutes early.

  • Zoom crashes repeatedly.
