Joining Google Meet from a Meeting Room

ℹ️ Note: Our meeting rooms run Zoom by default. You can join Google Meet calls in two ways — via a calendar invite (recommended) or using the Google Meet button directly on the touchscreen controller.
Part 1 Invite the Conference Room to Your Meeting

The best way to use a room for Google Meet is to add it as a guest in your calendar invite. The meeting will then appear automatically on the room's touchscreen when it's time to join.

Open your Google Calendar event
Go to calendar.google.com and open or create the meeting you're scheduling.

Add the conference room as a guest
In the Guests and Rooms field, type the name of the room (e.g. "Large Huddle Room") and select it from the autocomplete suggestions.

Make sure a Google Meet link is attached
Click "Add Google Meet video conferencing" if a Meet link isn't already on the event. The room system needs this link to connect. Make sure it is not a direct Zoom meeting. (If Applicable)

Save and send the invite
Click Save, then choose Send to notify all guests including the room. The room will appear as "Accepted" once confirmed.
✓  The room is now invited. Proceed to Part 2 on the day of your meeting.

Part 2 Join the Meeting from the Room

On the day of your meeting, use the Logitech touchscreen controller on the conference table to join your Google Meet call.

💡 Ad-hoc join: Even without a calendar invite, you can tap the Google Meet icon on the home screen and enter a meeting code at any time.

Wake up the touchscreen controller or iPad
Tap the Logitech touchscreen on the conference table. The Zoom Rooms home screen will appear showing the time and any upcoming meetings.

Find the Google Meet button on the home screen
Look for the Google Meet icon at the bottom of the home screen, alongside Microsoft Teams and Webex icons.
→ If you don't see these icons, contact IT — the interoperability feature may need to be enabled.

Join your scheduled meeting
If the room was invited via calendar (Part 1), your meeting will appear in the list. Tap it and tap Join.

Or enter a meeting code to join ad-hoc
Tap the Google Meet icon on the home screen and type in the meeting code from your calendar invite or meeting link.

You're in!
The TV will show the meeting and the room's camera and mic are live. Use the touchscreen to mute, manage participants, or leave the call.
✓  You're live on Google Meet.

After Your Meeting
Leave the call
Tap "Leave" on the touchscreen to end your session.
Switching platforms
The system stays in Zoom mode by default — no action needed.
Auto-reset
The room resets automatically overnight if anything looks off.
Troubleshooting
Google Meet icon not visible
Contact IT — interoperability may need to be enabled.
Meeting not on screen
Tap the Google Meet icon and enter the meeting code manually or check the meeting invite.
"Waiting to be admitted"
Ask the host to admit the room or enable Quick Access on the invite.
Audio / video issues
Tap the mic or camera icon on the touchscreen to unmute or enable.
